To manage very large projects in Toodledo, you have a couple of options. Choose the one you like best:

  • Folders. This works well in Toodledo. Turn on folders (Settings > Fields and Functions Used). Rearrange the columns to put Folder before Task, at the far left. Then Create folders for each of your large projects.
    • Unlimited tasks per project. Use Someday/Maybe to “pause” future next steps.
    • Orphan protection is not automatic, so your weekly reviews will be longer.
    • Projects list is the list of folder/list names.
  • Special Tags. Use special tags to track which project a task belongs to. The tag is the project name, starting with “=”, like this: =Remodel, =Pilots License, =Pick a Grad School.
    • Unlimited tasks per project. Use Someday/Maybe to “pause” future next steps.
    • Orphan protection is not provided with this method. You will need to adjust your weekly reviews.
    • Projects list is the list of all Categories.
  • NOT Subtasks. Do not use Toodledo subtasks. Unfortunately, they are not flexible enough for a proper TRO approach. (You would have to enter the main task [project] name in front of every subtask, which is OK; however, there is no way to suppress the main tasks from your lists and work just off the subtasks.)
