To create a “Hot” Inbox Rule in Outlook, follow these steps:
- Press Ctrl+1 to switch to the Email view.
- Select your active Inbox.
- Go to the Tools menu.
- Click Rules and Alerts.
- Click New Rule at the top of the screen.
- Under the Start from a blank rule heading, select Check Messages when they arrive and click Next (bottom of the screen).
- On the next screen, check one or more boxes for the rules you want to apply:
- Look for messages from the boss, or the key client, or the support ticket system …
- … with certain words in the Subject line, etc.
- Click the underlined words in the box below to set the exact conditions.
- Click Next (bottom of the screen).
- On the next screen, check the box(es) next to:
- Display a specific message in the New Item Alert window, and/or
- Display a Desktop Alert.
- Click the underlined words in the box below to set the exact conditions.
- Click Next (bottom of the screen).
- Click Next to skip the Exceptions screen.
- Name the rule “HOT”, check the box to Run this rule now on messages already in “Inbox”, and click Finish.
Outlook will now notify you about hot incoming emails.
