To create a “Hot” Inbox Rule in Outlook 2010, follow these steps:

  1. Press Ctrl+1 to switch to the Email view.
  2. Select your active Inbox.
  3. Go to Home, Rules, Manage Rules and Alerts.
  4. Click New Rule at the top of the screen.
  5. Under the Start from a blank rule heading, select Check Messages when they arrive and click Next (bottom of the screen).
  6. On the next screen, check one or more boxes for the rules you want to apply:
    • Look for messages from the boss, or the key client, or the support ticket system …
    • … with certain words in the Subject line, etc.
    • Click the underlined words in the box below to set the exact conditions.
  7. Click Next (bottom of the screen)
  8. On the next screen, check the box(es) next to:
    • Display a specific message in the New Item Alert window, and/or
    • Display a Desktop Alert.
    • Click the underlined words in the box below to set the exact conditions.
  9. Click Next (bottom of the screen).
  10. Click Next to skip the Exceptions screen.
  11. Name the rule “HOT”, check the box to Run this rule now on messages already in “Inbox”, and click Finish.

Outlook will now notify you about hot incoming emails.
